As an educational and cultural nonprofit institution, the Intrepid Sea, Air & Space Museum promotes the awareness and understanding of history, science and service through its collections, exhibitions and programming in order to honor our heroes, educate the public and inspire our youth. Located in New York City on the Hudson River, the Intrepid Museum was founded in 1982 with the acquisition of the legendary aircraft carrier Intrepid, a National Historic Landmark. Welcoming one million visitors annually, the Museum also features the space shuttle Enterprise, the world’s fastest jets and a guided missile submarine.

We are seeking a highly organized and detail-oriented individual to join us full time as the Data and Operations Associate for Institutional Advancement. Reporting to the Manager of Institutional Advancement Data and Operations, the Associate works closely with all divisions of the department including Membership, Individual Giving, Grant and Foundation Relations, and Special Projects and Events to facilitate office operations that support fundraising efforts.       

Responsibilities include but are not limited to:

  • Recording incoming donations in Museum database and preparing donation reports for department and museum leadership.
  • Participating in department marketing efforts by generating contact lists and facilitating communication between development database and marketing email system.
  • Assisting in database clean-up projects and the creation of data entry standards to be implemented cross-departmentally.
  • Assisting with special projects around the annual gala and upcoming capital campaign.
  • Assisting with planning, implementing, and staffing fundraising and cultivation events.
  • Scheduling department meetings, creating agendas, and recording and distributing minutes.
  • Managing department memberships and subscriptions.
  • Maintaining staff lists, central department calendars, and several electronic and hard copy filing systems.
  • Keeping inventory of department supplies and placing orders as needed.
  • General administrative duties including mailing, reserving rooms for meetings, submitting maintenance and IT work orders, making travel arrangements, etc.
  • Other duties as required by management.

 

Qualified candidates will have a         bachelor’s degree and 1–2 years of experience working in an office setting.  The successful candidate will be an enthusiastic and proactive team member with strong written and verbal communication skills who is comfortable liaising with high-profile individuals. Ideal candidates must have demonstrated professionalism and skills in time management and multi-tasking. Candidates should be proficient with computer systems, particularly with spreadsheets, email and calendars. Experience working with Tessitura or other client or customer database is a plus, but is not required.
