The Intrepid Sea, Air & Space Museum is a non-profit, educational institution featuring the legendary aircraft carrier Intrepid, the space shuttle Enterprise, the world’s fastest jets and a guided missile submarine. Opened in 1982, the Museum, anchored aboard the former USS Intrepid, a National Historic Landmark, has welcomed more than 2 million visitors since 2012. The Mission of the Intrepid Museum is to promote the awareness and understanding of history, science and service through its collections, exhibitions and programming, in order to honor our heroes, educate the public and inspire our youth.

Intrepid Museum is looking for a full-time Individual Giving Associate to provide a wide range of administrative support for the Individual Giving Team, including drafting articles and managing the production of Intrepid Advancements, a printed newsletter for Museum patrons, as well as other donor communications. He or she will serve as a key point of contact for supporters, Institutional Advancement staff, and other constituents in a professional, courteous, and helpful manner. This is an exciting opportunity for the right candidate to develop his/her fundraising skills and grow within the Museum’s Institutional Advancement department

Responsibilities include but are not limited to:

  • Enter all donations in Tessitura and prepare acknowledgement letters
  • Draft articles and manage the production and distribution of Intrepid Advancements, the supporters newsletter, as well as a bi-monthly e-news letter to Anchor Society members and other individual donors
  • Serve as the point of contact with donors up to $249
  • In collaboration with the Director of Individual Giving and Manager of Donor and Former Crew Member Relations, coordinate production and mailing of both spring and year-end appeal letters and emails
  • Coordinate informing IA staff about VIPs coming to Museum for special events, group events or VIP tours, including confirming a greeter and putting together a gift bag when appropriate, and recording in Tessitura
  • Create fundraising reports and other database reports as needed
  • Conduct research on prospective donors
  • Maintain individual donor files
  • Continually update and correct database records
  • Maintain guest lists and other duties as assigned for donor events
  • Manage development of Individual Giving income and expense budget and monthly reconciliation with the Finance Department
  • Handle all administrative details associated with the Institutional Advancement staff meetings (scheduling, agendas, and follow-up action items)
  • Other duties as assigned by the Director, Individual Giving

Performs other duties as required by management.

BA/BS degree from an accredited college or university or one to three years of professional experience, preferably in a nonprofit development office. Superior writing skills; the ability to edit persuasive letters and materials that are compelling and communicate the mission of the Intrepid Museum.
Understanding of the record-keeping and stewardship systems that support a successful donor relations program. Ability to meet deadlines, manage multiple projects and prioritize fundraising activities effectively. Comfort with managing multiple assignments in a fast-paced, non-profit setting. Experience with and knowledge of computer operation; knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Google docs, etc.) Experience with Tessitura database a plus. Ability to work weekends, holidays, and evenings as necessary.
