Collections Manager

The Intrepid Sea, Air & Space Museum is a non-profit, educational institution featuring the legendary aircraft carrier Intrepid, the space shuttle Enterprise, the world’s fastest jets and a guided missile submarine. The Mission of the Intrepid Museum is to promote the awareness and understanding of history, science and service through its collections, exhibitions and programming, in order to honor our heroes, educate the public and inspire our youth.

The Intrepid Museum is looking for a Collections Manager.  The position will be responsible for the preservation, documentation and management of the Intrepid Museum’s historic collection, archive and digital holdings. The Collections Manager reports to the Curator of History and Collections in the Exhibits Department and supervises the Archivist and Collections Technician (Collections Team). Works with departments throughout the Museum to improve management of and access to Museum’s collections.
Responsibilities include but are not limited to:


  • Supervises Archivist and Collections Technician, interns and/or volunteers in collections-related tasks such as inventorying, cataloging, researching, housing and photo-documenting the collection.
  • Works with the Museum’s two curators to solicit donations of collections.
  • Assists the two curators in preparing grant applications to secure additional sources of funding for collections-related projects.
  • Serves as liaison between Exhibits staff and other museum departments for collection-related storage, programming, data, funding and access issues.
  • Monitors collection for conservation and digitization on need-be or loan request basis.
  • Performs other duties as required by management.

Collections Management

  • Oversee the preservation of the museum’s collection by writing and implementing policies informed by AAM best standards.
  • Support collections team with thorough knowledge of cataloging and housing best practices for multiple types of media including 2-3 dimensional objects, documents, film and born digital materials.
  • Oversees the physical and intellectual management of the Museum’s permanent collection. 


  • Manages all documentation pertaining to the Museum’s collections. Organizes and conducts monthly collections committee meeting. Generates and processes all collections-related paperwork. Develops and maintains detailed hard copy and electronic files.
  • Oversees the movement of objects, both in the collection and on loan. Prepares and keeps records of receiving and shipping orders and insurance of loans.
  • Manages archival supply, conservation and digitization related budgets.
  • Maintains, updates and supervises use of the collections database. Serves as database manager (TMS) and liaison between vendors and IT department. Adds and edits data in TMS, and configures the system as needed.


  • Work with the Museum’s two curators to determine exhibition object lists and loans.
  • With the AVP of Exhibits and Senior Exhibits Preparator, designs, approves and assists in the creation of exhibition mounts.

Master’s degree (MA/MS) in Museum Studies and three or more years of experience in collection and archival management. At least one year of supervisory experience.  Demonstrated expertise in museum databases, TMS and Crystal Reports preferred. Strong verbal and written communication skills. Affinity for working in a collaborative environment. Basic knowledge of Adobe Suite, social media platforms, and hand tools preferred. Ability to work weekends, holidays, and evenings as necessary
