Payroll Specialist
The Intrepid Sea, Air & Space Museum is a non-profit, educational institution featuring the legendary aircraft carrier Intrepid, the space shuttle Enterprise, the world’s fastest jets and other historic aircraft as well as a cold war era guided missile submarine. Opened in 1982, the Museum, anchored aboard the former USS Intrepid, a National Historic Landmark, has welcomed more than 1 million visitors annually since 2012. The mission of the Intrepid Museum is to promote the awareness and understanding of history, science and service through its collections, exhibitions and programming, in order to honor our heroes, educate the public and inspire our youth.
Intrepid Museum is seeking a Payroll Specialist.  The Payroll Specialist is responsible for all aspects of payroll, maintaining payroll system and processing biweekly payroll, with additional responsibilities related to 403(b) plan, employee benefits, monthly close, annual financial audit, workers compensation insurance audit and other related projects as may be assigned. Intrepid Museum is a one location organization with approximately 250 employees and two unions. It conducts multiple public programs, hosts dozens of private events and delivers various grant-funded programs all of which require differing levels of wage and hour allocations. The successful candidate for this position is detail-oriented, an effective team player and performs well in an ever-changing and fast-paced environment.  
Essential Duties and Responsibilities: 
The Payroll Specialist is responsible for the following duties and responsibilities. To perform this job successfully, an individual must be able to accomplish each essential duty satisfactorily.
  • Prepare and process full cycle payroll from beginning to end, accurately and in a timely manner; checking timesheets for accuracy, including payroll codes, union overtime rates and shift differentials.
  • Work with Human Resources Department on new hires, terminated employees, and employee information changes such as job titles, wage rates, exemptions and deductions; and maintain proper documentation for payroll changes. 
  • Ensure compliance with applicable payroll laws/regulations. 
  • Resolve payroll discrepancies and address inquiries from employees in a timely manner. 
  • Complete payroll reporting requests (budget input, overtime monitoring, management reports, state and federal compliance, grant allocations, etc.) in an accurate and timely manner. 
  • Provide audit support related to payroll records including monthly account reconciliations. 
  • Assist with the 403(b) plan administration, such as submitting employee deductions timely to Plan Administrator; and annual audit and financial statement preparation. 
  • Coordinate the annual workers’ compensation audit, and provide assistance for all other audits such as governmental agency audits. 
  • Track employee paid time off accruals, usage and balances.   
  • Prepare payroll journal entries for bi-weekly payrolls, month end accruals, and grant allocations.
  • Process and issue W-2 forms to employees.
  • Develop and document payroll processes and reporting tools based on best practices. 
Education, Experience and Other Requirements: 
  • Three to five years of experience in a Payroll processing function with 100+ employees. 
  • Current experience with ADP Workforce payroll software is required.
  • Excellent communication skills, both verbal and written, to communicate with employees, managers and vendors regarding issues and concerns.
  • Strong computer skills, especially in Microsoft Office.  
  • Commitment to maintain high degree of confidentiality and respect for the privacy of employee records.
  • Excellent organizational skills.
  • Accurate data entry skills with meticulous attention to detail and process. 
  • Ability to identify, research, and resolve payroll related issues.
  • Ability to plan and organize multiple tasks with varying priorities and specific hard deadlines in a fast-paced environment. 
  • Ability to work independently in a time-sensitive environment.
The successful candidate has or can become certified through the American Payroll Association (APA) or get an official designation as a Certified Payroll Professional (CPP).
