The Intrepid Sea, Air & Space Museum is a non-profit, educational institution featuring the legendary aircraft carrier Intrepid, the space shuttle Enterprise, the world’s fastest jets and other historic aircraft as well as a cold war era guided missile submarine. Opened in 1982, the Museum, anchored aboard the former USS Intrepid, a National Historic Landmark, has welcomed more than 1 million visitors annually since 2012. The mission of the Intrepid Museum is to promote the awareness and understanding of history, science and service through its collections, exhibitions and programming, in order to honor our heroes, educate the public and inspire our youth.
 
Intrepid Museum is looking for a full-time Human Resources Assistant.  Responsibilities include heavy administrative duties, superior customer service and database integrity. This is a great opportunity for a motivated and detail-oriented individual to play a key support role within our fast-paced Human Resources Department.
 
Responsibilities include but are not limited to:
  • Providing superior customer service on behalf of the Museum; acting as a point of contact for staff regarding human resources policies and regulations; screening and directing phone calls/e-mails; presenting a pleasant and professional demeanor while maintaining confidentiality of information
  • Performing HR administrative duties including, but not limited to: 
    • Maintaining personnel files for active and terminated employees

    • Reviewing employee files for internal and external audits; compiling reports of missing and/or incomplete items, following up to obtain missing information; maintaining confidentiality of all HR files

    • Assisting with data entry/integrity of HRIS system in order to meet management information needs

    • Assisting with background checks and reference checks

    • Responding to inquiries regarding policies, procedures, programs and employment verifications

    • Coordinating and collating new hire materials (new hire packets, benefits packets, “swag” materials)

    • Maintaining and updating employee status updates through the Helpdesk system; tracking and coordinating IT/Facilities needs for new hires

    • Preparing memos, spreadsheets and/or presentations as directed using Microsoft Excel, Word and PowerPoint

    • Managing office supply process: maintaining inventory, troubleshooting incorrect orders, sorting and distributing items upon arrival, processing Purchase Orders

    • Sorting, tracking and distributing biweekly paychecks

    • Providing administrative support for full-cycle recruitment and onboarding processes, from requisition to new-hire status

    • Assisting with recruitment resources: research, coordinate and post recruitment advertising both internally and externally on websites, job boards, career centers and institutes of higher education.

    • Schedule interviews with candidates

    • Coordinate, manage and monitor recruitment paperwork (applications, release forms, background screenings)

    • Preparing offer letters

    • Assisting with benefits administration and annual open enrollment process

    • Assisting HR team in research projects as needed

    • Assisting in coordinating and participating in HR sponsored events and employee functions

    • Performing other duties as required by management

  • Acts as backup coverage to the mailroom, performing mailroom duties as needed.
 
Employee will need to climb ladders and go onto man-lifts, forklift trucks or any other equipment required to service equipment and wiring throughout the varied locations across the Museum complex.  Specific vision abilities required by this job include close vision, and color vision. Employee must be able to pull cabling and all physical demands associated with this task. The employee must frequently lift and/or move up to 50 pounds. 
 
Qualified candidates will also have an ability to understand sensitive information and maintain confidentiality, have strong interpersonal and communication skills at all levels of the organization from line workers to senior management level, have strong critical thinking skills, have complex problem solving skills, be highly organized and have an ability to manage multiple tasks simultaneously.
