The Intrepid Sea, Air & Space Museum is a non-profit, educational institution featuring the legendary aircraft carrier Intrepid, the space shuttle Enterprise, the world’s fastest jets and a guided missile submarine. Opened in 1982, the Museum, anchored aboard the former USS Intrepid, a National Historic Landmark, has welcomed more than 2 million visitors since 2012. The Mission of the Intrepid Museum is to promote the awareness and understanding of history, science and service through its collections, exhibitions and programming, in order to honor our heroes, educate the public and inspire our youth.

Intrepid Museum is looking for a full-time Human Resources Assistant.  Responsibilities include heavy administrative duties with a focus on recruitment. This is a great opportunity for a motivated and detail-oriented individual to play a key support role within our fast-paced Human Resources Department.
Responsibilities include but are not limited to:
Recruiting Duties:

  • Provide administrative support for full-cycle recruitment and onboarding processes, from requisition to new-hire status.
  • Consult with managers to identify staffing requirements, construct job descriptions and facilitate the job requisition approval process.
  • Write ads and job postings for open positions.
  • Manage recruitment resources: research, coordinate and post recruitment advertising both internally and externally on websites, job boards, career centers and institutes of higher education. 
  • Screen and evaluate resumes and cover letters.
  • Conduct phone screens and/or in-person interviews; schedule candidates with managers.
  • Coordinate, manage and monitor recruitment paperwork (applications, release forms, background screenings.)
  • Where applicable, use recruiting tools like tests and assignments to assess candidates’ skills.
  • Conduct background checks and reference checks.
  • Prepare offer letters; extend offers to candidates as directed.
  • Attend job fairs and career events as directed.

General HR duties:

  • Provide superior customer service for staff and clients on behalf of the Museum; act as a point of contact for staff regarding human resources policies and regulations; screen and direct phone calls/e-mails; present a pleasant and professional demeanor while maintaining confidentiality of information.
  • Perform HR administrative duties including but not limited to:
  • Maintain personnel files for active and terminated employees.
  • Review employee files for internal and external audits; compile reports of missing and/or incomplete items, following up to obtain missing information; maintaining confidentiality of all HR files.
  • Coordinate and collate new hire materials (new hire packets, benefits packets, and “swag” materials).
  • Maintain and update employee status updates through the Helpdesk system; track and coordinate IT/Facilities needs for new hires.
  • Assist with daily filing; fax, photocopy and distribute HR related materials as needed.
  • Assist HR staff with the processing of office supplies: place orders, maintain inventory, troubleshoot incorrect orders, sort and distribute items upon arrival

Perform other duties as required by management.
Qualified candidates will possess or be in the process of obtaining a BS/BA degree. Degree in HR and/or college internship in HR preferred, experience working with an HRIS database a plus. Must be computer literate with proficiency in Microsoft Office (Word/Excel/Outlook/PowerPoint). Excellent verbal/written communication, interpersonal and organizational skills required; must be detail oriented. Must be able to work with frequent interruptions and a high degree of in-person and phone contact. Must be able to effectively manage multiple projects with overlapping tasks and timelines. Must have good professional acumen when interacting with staff and external customers/vendors. Ability to quickly develop and maintain constructive and cooperative working relationships. Must be able to work 40 hours per week.
