The Intrepid Sea, Air & Space Museum is an educational and cultural non-profit institution featuring the legendary former aircraft carrier and National Historic Landmark USS Intrepid, the space shuttle Enterprise, the world’s fastest jets and a guided-missile submarine. Since its opening in 1982, the Intrepid Museum has dedicated itself to a mission of promoting the awareness and understanding of history, science and service through its collections, exhibitions and programming to honor our heroes, educate the public and inspire our youth. The Museum proudly welcomes over one million visitors through its doors annually and remains one of the most popular attractions in the United States.

Intrepid Museum is looking for a full-time Project Coordinator. The Project Coordinator reports to the Creative Director and is responsible for planning, production and administrative support for the Marketing art department. This includes assistance with advertising from media planning to trafficking ad materials, managing schedules and contacts, collecting bids for print collateral and signage as well as maintaining relationships with print vendors. The Project Coordinator will also help manage Marketing’s archive of creative assets. **Not a Design Position**

Essential Duties and Responsibilities include but are not limited to:

  • Collects necessary details to facilitate discussion and decision making in media planning
  • Assists in developing various media/advertising presentation days throughout the year as required by the Creative Director
  • Assists in media planning with Creative Director and VP, Marketing through research and upkeep of media database
  • Obtains proof of run for all media placed including photos of OOH and printed magazines, updated in a monthly report
  • Works closely with designers to maintain deliverable schedule
  • Works closely with various internal departments and external contacts
  • Assists in upkeep of database of contacts, specs and pricing
  • Maintains a positive work environment with high standards
  • Helps maintain schedule for department, including timing and deadlines associated with printed and digital materials as well as advertising placements
  • Responsible for trafficking all media placements to outlets

Performs other duties as required by management.

Qualified candidates will possess a BA degree in Advertising or related field with 2-4 years of experience in a project manager role.  Agency experience a plus with ability to juggle deadlines and priorities. Proven ability to manage relationships and drive process in a team environment.  Must be a Self-starter, organized and able to act and follow through on projects independently. Ability to reprioritize projects and work flow based on business needs. Knowledge of Mac OS and Adobe Creative Suite as well as experience in Microsoft Office Suite and Google Drive tools. Experience with DAM systems a plus.
